Upload PDF · check data · get ZUGFeRD

Convert PDF to ZUGFeRD, your layout stays unchanged

Your invoices are created as PDFs, in Word, in your invoicing program or in industry software, but your customer requires an e-invoice? Upload the PDF. AI reads the invoice data, you check it in the invoice form, and we embed the EN 16931 e-invoice data set into exactly your PDF.

How your PDF becomes an e-invoice

1
Create a free account
Registration is free and 10 transactions are included, no credit card required. You enter your sender and bank details once in your profile.
2
Upload the PDF
Under “Make your own PDF compliant” you upload the finished invoice, up to 15 MB. The first 5 pages are read. Scanned invoices are recognised too; the quality depends on the scan.
3
Check the data
AI reads the recipient, line items, amounts and tax rates and opens the familiar invoice form with them. You check and complete everything before anything is created.
4
Create the e-invoice
On creation, the e-invoice data set (ZUGFeRD, EN 16931) is embedded in your PDF. The result looks like your original and is machine-readable at the same time.
5
Download or send
Download the finished e-invoice or send it directly from the platform; it is also stored in your account archive. To double-check, you can validate it for free.

What you should know

Layout

Your PDF stays your PDF

We do not create a new layout; we embed the data set in the uploaded PDF. Logo, fonts and structure stay exactly as you designed them.

Format

ZUGFeRD is Factur-X

The result is a ZUGFeRD invoice under EN 16931; in France the same format is called Factur-X. Since 2025, businesses in Germany must be able to receive e-invoices in this format.

XRechnung

Convert a PDF to XRechnung?

An XRechnung is pure XML and contains no PDF, so your layout cannot be part of it. If a client such as a public authority requires an XRechnung, create it in the invoice form using the XRechnung format. The AI import takes the data from the copied invoice text.

Privacy

Processing in the EU

For text recognition the PDF is sent to Mistral AI in France and does not leave the EU. We keep it only until the invoice is created, for 4 hours at most.

Limits

No Word template or seal

With your own PDF, the features that design the layout themselves are not available: Word template and authenticity seal with QR code. Both are available when the invoice is created in the platform.

Many invoices

From Excel or CSV instead of PDF

If your data is in a spreadsheet, the file import is faster: many invoices at once, a preview first, all PDFs as a ZIP. More under e-invoices from Excel and CSV.

Common pitfalls when converting

Password-protected PDF

A locked PDF cannot be processed. Unlock it before uploading or export it again, for example as PDF/A.

Details on later pages

The first 5 pages are read. If, for example, the early payment discount or the bank details appear further back, add them in the form; it will point this out.

Blurred scan

With poor scans, the AI reads numbers incorrectly or not at all. Check amounts and tax rates in the form with particular care.

Renaming is not enough

A PDF does not become an e-invoice by renaming it or sending it by email. What matters is the embedded data set. The free validation shows whether it is there.

Price

Reading a PDF costs 10 credits, creating the invoice costs 1 credit or is included in the monthly plan. After registration, 10 transactions are free. After that you pay per transaction; the smallest package costs EUR 9.00 net for 100 credits.

FAQ: converting PDF to ZUGFeRD

Can I convert a PDF to ZUGFeRD for free?

To start with, yes: after registration 10 transactions are free, no credit card required. After that, reading costs 10 credits and creating costs 1 credit, with no subscription required.

Will my invoice layout be preserved?

Yes. The e-invoice data set is embedded in your uploaded PDF; appearance and structure stay unchanged.

Can I convert a PDF into an XRechnung?

An XRechnung is a pure XML file without a PDF. You create it in the invoice form using the XRechnung format, and the AI import takes your invoice data from the copied text. Naturally, your PDF layout is not part of an XRechnung.

Does this also work with scanned invoices?

Yes, text recognition also reads scans. The sharper the scan, the more reliable the result. Check amounts and tax rates in the form before you create the invoice.

Where is my PDF sent?

To Mistral AI in France for text recognition; it does not leave the EU. We keep it only until the invoice is created, for 4 hours at most, after which it is deleted.

Do I need to install any software?

No. Everything runs in the browser, there is nothing to download. For developers there is also a REST API.
